How to Plan an Annual Event for Senior Living

How to Plan an Annual Event for Senior Living
3 85

Annual events give residents, families, friends and team members an opportunity to celebrate, connect and create lasting memories together.

Whether you're planning a Spring Ball, a Christmas Celebration, a Community Fair or another special occasion, thoughtful planning and shared enthusiasm can turn your event into a tradition that everyone looks forward to each year.

Choose Your Event

The best annual events are shaped by the interests and ideas of your residents. Ask them what they'd love to do, find out what they've enjoyed in the past and encourage them to be involved in the planning wherever possible - even small contributions can give residents a meaningful sense of ownership over the event.

When selecting a theme, consider the mobility, interests and cultural backgrounds of your residents so everyone has the opportunity to participate and enjoy the occasion.

Once you've chosen a theme, confirm the date, Final check — decorations, seating, signage and budget early. This gives everyone plenty of time to organise entertainment, catering and any special guests.

Your Event Planning Timeline

Use this timeline as a guide -adjust the timeframes to suit the scale of your event.

8–12 Weeks Before

  • Choose your event theme and confirm the date
  • Set your budget
  • Form your planning team and assign responsibilities
  • Book entertainment, performers or special guests
  • Begin planning the menu and catering arrangements
  • Send save-the-date notices to families and staff

4–6 Weeks Before

  • Send formal invitations to residents, families and any external guests
  • Finalise the event program and schedule
  • Source decorations, costumes and props
  • Confirm catering numbers and any dietary requirements
  • Arrange photography or video coverage
  • Begin involving residents in preparation - craft projects, decoration making, costume planning

2–3 Weeks Before

  • Confirm all bookings and follow up with entertainers
  • Brief all staff on their roles and the event schedule
  • Begin making decorations with residents
  • Prepare any printed materials - programs, menus, signage
  • Review accessibility arrangements - seating, pathways, lighting, toilets

1 Week Before

  • Complete a final walkthrough of the space
  • Confirm catering delivery and setup times
  • Test all sound and audio-visual equipment
  • Ensure all team members know their roles
  • Follow up with families who haven't confirmed attendance

24 Hours Before

  • Final check - decorations, seating, signage
  • Confirm catering is on track
  • Brief volunteers and any external helpers
  • Prepare resident name tags or programs
  • Check consent procedures for photography

On the Day

  • Arrive early to oversee setup
  • Welcome residents and families warmly as they arrive
  • Stay flexible - even the best plans may need adjusting
  • Assign someone to oversee the schedule so you can focus on residents
  • Take photos and note special moments
  • Most importantly - enjoy it with your residents

After the Event

  • Thank everyone who contributed - residents, families, volunteers and staff
  • Gather feedback while the experience is still fresh
  • Note what worked well and what could be improved
  • File your budget, checklists and planning notes for next year
  • Share photos with residents, families and staff

Build Your Planning Team

Planning a large event is a team effort. Nominate someone to coordinate the event, organise planning meetings and keep everyone informed.

Invite team members from across the organisation to get involved. Nursing, hospitality, housekeeping, maintenance, administration, volunteers and family members can all contribute valuable ideas and skills.

Divide the workload by assigning one or two people to oversee areas such as:

  • invitations and promotion
  • entertainment
  • catering and refreshments
  • decorations
  • venue setup
  • photography
  • accessibility and seating
  • cleanup after the event

Annual Event Ideas

If you're looking for inspiration, here are some popular annual events in senior living communities:

20140106-a4.jpg

  • Chrimstas Pantomime - a Golden Carers favourite. We release a new pantomime every year to help you bring a little magic to your Christmas celebrations.
  • Spring Ball
  • Community Fair
  • Garden Festival
  • International Food Day
  • Country and Western Day
  • Decades Party
  • Trivia Challenge
  • Talent Show
  • Family Fun Day
  • Community Picnic
  • Resident Art Exhibition
  • Live Music Afternoon
  • Cultural Celebration
  • Memorial Fundraiser

And don't be afraid to think outside the box. One community organised a memorial celebration and fundraiser for their beloved resident cat Pasty, who had been part of the facility for many years. Residents helped with decorations, contributed ideas for things to sell and invited their families to a special community day - raising money for the animal shelter where Pasty had originally come from. It was a day full of meaning, laughter and connection.

Another community hosted a Mad Hatters Tea Party, borrowing a beautifully decorated oversized chair from the local library and inviting residents and families to dress up. The costumes were wonderful, the atmosphere was magical and it became one of the most talked-about events of the year.

The best events often come from the most unexpected ideas. Ask your residents - they may surprise you.

A Final Thought

A memorable annual event doesn't have to be expensive or elaborate. With thoughtful planning, shared responsibilities and a genuine focus on what residents enjoy most, you can create a celebration that brings your community together and becomes a tradition for years to come.

Hi Ruth

We did a Mad Hatters Tea Party at our Rest Home. Borrowed a hugh chair beautifully decorated from the local library, most Residents dressed for the occasion. Family invites were sent out and the costumes that some of them came dressed as were wonderful. If you would like to look at some of the photos, I'm happy to show you.
