How to Plan an Annual Event for Senior Living
Annual events give residents, families, friends and team members an opportunity to celebrate, connect and create lasting memories.
Whether you're planning a Spring Ball, Christmas Celebration, Community Fair or another special occasion, thoughtful planning and teamwork can turn your event into a tradition that everyone looks forward to each year.
Choose Your Event
The best annual events are shaped by the interests of your residents. Ask for their ideas, find out what they've enjoyed in the past and encourage them to be involved in the planning wherever possible.
When selecting a theme, consider the mobility, interests and cultural backgrounds of your residents so everyone has the opportunity to participate and enjoy the occasion.
Once you've chosen a theme, confirm the date, venue and budget early. This gives everyone plenty of time to organise entertainment, catering and any special guests.
Build Your Planning Team
Planning a large event is a team effort. Nominate someone to coordinate the event, organise planning meetings and keep everyone informed. In many communities, this role is filled by the Activity Coordinator or another experienced team member.
Invite team members from across the organisation to get involved. Nursing, hospitality, housekeeping, maintenance, administration, volunteers and family members can all contribute valuable ideas and skills.
Divide the workload by assigning one or two people to oversee areas such as:
- invitations and promotion
- entertainment
- catering and refreshments
- decorations
- venue setup
- photography
- accessibility and seating
- cleanup after the event
Create an Action Plan
Once responsibilities have been assigned, break each task into smaller, manageable steps. This makes it easier to track progress and reduces the risk of overlooking important details.
For example, the person organising the entertainment may need to:
- confirm performers
- organise rehearsals
- arrange music and sound equipment
- prepare costumes or props
- finalise the performance schedule
Regular planning meetings provide an opportunity to review progress, answer questions and make adjustments as needed.
Prepare for the Event
As the event approaches, review your plans and complete a final walkthrough of the venue. Check that equipment is working, supplies have arrived and everyone understands their role on the day.
Remember to consider the comfort and safety of residents as well as the event schedule. Ensure there is adequate seating, clear walkways, accessible toilets, good lighting and sound, and refreshments that are easy to access. If photographs or videos will be taken, follow your organisation's consent procedures.
Complete a final check 24 hours before the event to make sure everything is in place:
- venue prepared
- decorations completed
- catering confirmed
- entertainment ready
- sound equipment tested
- seating arranged
- programs printed
- team members briefed
On the Day
Even the best plans may need adjusting, so be prepared to stay flexible. The person coordinating the event should oversee the schedule, support team members and respond calmly to any unexpected changes.
Most importantly, take time to enjoy the celebration with the residents. A relaxed atmosphere, friendly conversation and genuine enthusiasm often make the biggest difference to the success of an event.
After the Event
When the event is over, thank everyone who helped make it a success, including residents, family members, volunteers and team members. Ask for feedback while the experience is still fresh and make a note of ideas that could improve next year's event.
Keep copies of your budget, planning notes and checklists. Building on what you've learned each year will make future events easier to organise and even more enjoyable.

At our nursing home we lost our resident cat who had been with us for a long time , The residents want so much to do something special for Pasty the cat so we are having a memorial and fund raising for the RSPA since that is where Pasty the cat has come from . So its a bigFamily day with loads of things to sell, things to eat and lots of money to make for the RSPA . The resident are helping with all decorations , ideas on thing to sell and letting there family know ( with our help as well in emails ). We did a Mad Hatters Tea Party at our Rest Home. Borrowed a hugh chair beautifully decorated from the local library, most Residents dressed for the occasion. Family invites were sent out and the costumes that some of them came dressed as were wonderful. If you would like to look at some of the photos, I'm happy to show you.
